Creating and managing profiles

Create and manage Order Anywhere profiles to enable and enhance the ordering experience for your customers. Depending on the profile you select, customers can order for pickup, at their table, or just browse your menu online. Once you’ve created and customized your profiles, you’re ready to share them by generating QR codes and adding the link to your website to customer-facing pages.

Creating profiles

The type of profile you create sets the tone for how your customers will interact with Order Anywhere. Pickup profiles allow customers to place takeaway or pickup orders before coming to your restaurant, table profiles allow customers to order from within your restaurant, and menu browsing profiles allow your customers to read your menu online.

Each profile is connected to one of your menus and automatically generates a unique QR code and URL. If you have multiple menus, like lunch and dinner, you’ll need to create both in the Restaurant Manager and link them to the appropriate profiles.

  1. Log in to the Order Anywhere Back Office.
  2. From the navigation menu, go to My profiles.
  3. Click Create profile.L-series-OA-create-profile.png
  4. Select an order type by clicking one of the tiles.
    • Pickup and Delivery: Pickup and delivery profiles allow customers to place takeaway or pickup orders before coming to your restaurant. Customers can choose to pick up their order as soon as possible or schedule it for a later date or time.
    • Table: Table profiles allow customers to place dine-in orders at your restaurant.
    • Menu: Menu browsing profiles combined with Scan and Pay allow customers to read your menu online through the Order Anywhere application, without placing an order.L-series-OA-order-type.png
  5. From Profile name, enter a name for the profile.
  6. From the Profile menu drop-down menu, select a menu to use with this profile.
  7. Click Create.

Once you’ve completed creating profiles, you’re ready to customize your profiles.

Customizing profiles

After you've created your profiles, customize them by configuring the settings to better represent your restaurant. Settings vary according to the type of profile you've just created. Click on the corresponding type tab to learn more about customizing profiles.

Payments must be enabled in order for Payment settings to appear in profiles.

  • Customizing pickup and delivery profiles:

    1. Click the Details tab and fill in the appropriate information.
      • Menu to use with this profile: Select the menu that will be linked to this profile from the drop-down menu.
      • Set average time for food preparation (in minutes): Use the + and - buttons to indicate the amount of time it typically takes to prepare an order. Customers will see the average food preparation time on their device. If you leave this section blank, they’ll be informed that their orders are ready immediately. The preparation time also determines when receipts are printed in the kitchen and bar, whether for immediate orders or those scheduled for later. It factors in your restaurant’s business hours, ordering hours, and preparation time, which will also limit when the first and last orders can be placed.L-series-OA-pickup-profile-details.png
    2. Click the Order ahead tab and fill in the appropriate information.
      • Limit ordering ahead: Select how far in advance customers can place orders by clicking the amount of time (ASAP, same day only, or one to seven days ahead) from the drop-down menu. If Ordering ahead is enabled, customize time slots by adjusting time slot duration and orders per time slot settings.
      • Time slot duration: Select the amount of time of each available ordering time slot.
      • Orders per time slot: Enter the amount of maximum orders to be accepted within each time slot.
      • (North America only) Curbside pickup: Toggle on to enable curbside pickup to give customers the option to ask for their order to be brought to their car when they pick it up.
      • (Optional) Include a note: Add a note to be displayed in the confirmation message to customers.L-series-OA-pickup-order-ahead.png
    3. Click the Delivery tab and fill in the appropriate information.
      • Enable delivery: Toggle on to enable delivery.
      • Delivery area: Enter the distance from the restaurant to the delivery location.
      • Estimated delivery time: Select the estimated amount of time it should take to complete a delivery.
      • Minimum order value for delivery: Enter minimum order value to qualify for delivery.
      • Delivery fee: Enter delivery fee.L-series-OA-delivery.png
    4. Click the Payment tab and fill in the appropriate information.
      • In-person payments: Toggle on to enable in-person payments and select which payment methods to offer. To edit which payment methods are offered, click Add and select your desired payment method from the menu.L-series-OA-pickup-payment.png
    5. Click the Checkout tab and fill in the appropriate information.
      • Customer note: Allow customers to add a note at checkout, like if they’d like to edit one of the items or request a substitute.
      • Tipping: Allow customers to add a tip to their total. To edit which tipping options to offer customers, click Add and select your desired tipping percentages.L-series-OA-pickup-checkout.png
    6. Click the Ordering hours tab and fill in the appropriate information.
      • Online ordering hours: Toggle on to override your restaurant's current business hours so customers will be able to order during a specified time period. Click the days you'd like to enable online ordering hours for, then select the time frame you'd like to make online ordering available.
      • (Optional) Add shift: Add multiple online ordering shifts and repeat setting up online ordering hours. You can also specify ordering hours for different menus, like lunch and dinner, to prevent customers from ordering lunch items during dinner. If ordering times aren't set, the system will default to your restaurant's business hours.L-series-OA-pickup-ordering-hours.png
    7. Click Save.
  • Customizing table profiles:

    1. Click the Details tab and fill in the appropriate information.
      • Menu to use with this profile: Select the menu that will be linked to this profile from the drop-down menu.
      • Set average time for food preparation (in minutes): Use the + and - buttons to indicate the amount of time it typically takes to prepare an order. Customers will see the average food preparation time on their device.
    2. Click the Payment tab and fill in the appropriate information.
      • In-person payments: Toggle on to enable in-person payments and select which payment methods to offer. To edit which payment methods are offered, click Add and select your desired payment method from the menu.
    3. Click the Checkout tab and fill in the appropriate information.
      • Tipping: Allow customers to add a tip to their total. To edit which tipping options to offer customers, click Add and select your desired tipping percentages.
      • Customer contact information: Toggle on the contact fields to collect from your customers at checkout (email address, first name, last name, and phone number).
      • (Optional) Click the Set as required box next to an enabled contact field to require customers to provide their contact information before submitting their order.L-series-OA-table-checkout.png
    4. Click the Ordering hours tab and fill in the appropriate information.
      • Online ordering hours: Toggle on to override your restaurant's current business hours so customers will be able to order during a specified time period. Click the days you'd like to enable online ordering hours for, then select the time frame you'd like to make online ordering available

    1. Click the Details tab and fill in the appropriate information.
    2. Menu to use with this profile: Select the menu that will be linked to this profile from the drop-down menu.
    3. Set average time for food preparation (in minutes): Use the + and - buttons to indicate the amount of time it typically takes to prepare an order. Customers will see the average food preparation time on their device.
    4. Click Save.

Once you’ve completed customizing profiles, you’re ready to share your profiles by generating custom QR codes and locating the link to your website.

Sharing profiles

After you've created and customized your profiles, share them with your customers. The custom QR codes and link to your website allow customers to access your Order Anywhere page to place orders both inside and outside the restaurant or read through your menu as they plan their next visit.

Generating custom QR codes

Customers can conveniently place orders by scanning your profile’s QR code using the camera on their mobile phone or tablet. Generate unique QR codes for your profile, print them, and add them to your menus or signs for easy access to your Order Anywhere page.

  1. Log in to the Order Anywhere Back Office.
  2. From the navigation menu, go to My profiles.
  3. Click the name of the profile you want to generate QR codes for.
  4. Click Generate QR codes.
  5. Fill in the appropriate information according to the profile’s order type.
    • Arrange the QR code, header text, and logo: Select if you’d like the QR code to display vertically or horizontally.
    • Personalize the header text: Write the text you’d like displayed on your QR codes. For example, “Scan to browse, order, and pay!”
    • (Table and Menu browsing profiles only) Display the table number: Toggle on to display the table number. Displaying the table number is recommended so it’s easier to organize when printing and adding QR codes to your tables.
    • Display the restaurant logo: Toggle on to display the restaurant logo.
    • Choose a font: Select your preferred font from the drop-down menu.
    • Choose a background color: Select your preferred background color from the available options.L-series-OA-generate-QR-code.png
  6. Click Next.
  7. Fill in the appropriate information according to the profile’s order type.
    • (Table and Menu browsing profiles only) Floor plan: Select the relevant floor plan to your QR codes.
    • Export settings: Select which file format you’d like to export your QR codes into.
    • Size: Select your preferred QR code size from the drop-down menu.
  8. Click Export.
  9. (Table and Menu browsing profiles only) Print the QR codes.
  10. Add the QR codes to their matching table, a physical takeaway menu, or on your website for customers to scan.

Locating the link to your website

Spread the word about your Order Anywhere profiles by placing a custom button on your website or sharing the link to your website on social media.

  1. Log in to the Order Anywhere Back Office.
  2. From the navigation menu, go to My profiles.
  3. Click the name of an existing profile.
  4. Click the copy to clipboard button next the link to your website.
  5. Add the link to your website to customer-facing pages, such as physical menus or your social media.

Editing profiles

If you'd like to change your profile settings, edit them to pause ordering, refresh their menu, or delete as needed.

Edit a profile to rename, customize ordering preferences, or modify payment settings.

  1. Log in to the Order Anywhere Back Office.
  2. From the navigation menu, go to My profiles.
  3. Select the name of the profile you want to edit.
  4. Make your desired changes to the profile.
  5. Click Save.

Pausing profiles

Pause specific profiles to temporarily prevent customers from placing orders. Pausing profiles only determines whether customers can see and use the profile, which means you can pause and resume at anytime without affecting your Restaurant Manager data. For example, seasonal profiles could be paused after that season ends, and then resumed the following year.

  1. Log in to the Order Anywhere Back Office.
  2. From the navigation menu, go to My profiles.
  3. Select the name of the profile you want to pause.
  4. Click Pause orders. Once enabled, Pause orders changes to Resume orders.Order Anywhere ordering profile example with pause orders highlighted
  5. Click Save.

Refreshing the menu linked to profiles

If you've changed the menu linked to a profile, refresh it to make sure your customers see the updates right away.

  1. Log in to the Order Anywhere Back Office.
  2. From the navigation menu, go to My profiles.
  3. Select the name of the profile that you want to refresh the menu of.

Deleting profiles

Deleting a profile is useful when your restaurant no longer provides a specific ordering method, discontinues a particular service, or when you simply want to remove outdated or irrelevant profiles.

Once you delete a profile, it cannot be undone. All data associated with the deleted profile will be permanently lost.

  1. Log in to the Order Anywhere Back Office.
  2. From the navigation menu, go to My profiles.
  3. Select the name of the profile you want to delete.

  5. Review the pop-up warning.
  6. Click Delete to confirm.
