Assigning user roles

User roles define the permissions and restrictions for a designated user in Lightspeed Restaurant. You can set user permissions by individually enabling or disabling user roles, or by assigning the user to a user group with preset roles. 

Enabling individual user roles

  1. From Restaurant Manager, select Users from the navigation menu.
  2. From the Users page, select a user to open the Edit User popup.
  3. Select Edit roles.
  4. Select Additional Roles
  5. Enable user roles by selecting them from the list.
  6. Select Save and then OK finalize your settings.

If you’ve created and assigned a user group, the user role list displays only the permissions that are not included in the assigned group. User group roles appear in blue and individual permissions appear in green.

NOTE: Some permissions (such as voiding and deleting) are limited to managerial users and require the Allow elevated permissions user role to be enabled.

 

User Roles

 

ROLE DESCRIPTION
Allow user to refund deposits on items

Gives user permission to refund refundable products in Restaurant POS.

Allow POS access

When enabled, the user can access the Restaurant POS app (floor plan, tables, orders, etc.). When disabled, the user can only clock in and out of the Restaurant POS.

NOTE: This setting should be disabled for all employees who do not interact with the POS, such as back-of-house staff and bussers.

Don't force waiter clock in

When enabled, the user is not obligated to clock in when they log into Restaurant POS at the start of their shift.

NOTE: Enable this for all user groups if you are not using the POS to track employee hours.

Allow print receipt Gives user permission to print a receipt.
Allow reprinting bar kitchen Gives user permission to reprint tickets to the bar/kitchen as often as they wish.
Allow reprinting receipt Gives user permission to reprint receipts as often as they like.
Allow edit receipts other users

Gives user permission to open and edit receipts made by another user.

NOTE: If you are using Order Ahead or POS users share tables, this role should be enabled. 

Allow edit finalized receipts

Gives user permission to re-open and edit a finalized receipt.

This role is typically reserved for managers.

Allow transfer ownership of user's open receipts

Gives user permission to transfer table ownership of their own open receipts to another user. This is useful when changing over shifts.

NOTE: Transferred receipts do not need to be accepted by the new owner.

Allow transfer ownership of any open receipts

Gives user permission to transfer table ownership of any open receipts, including other users receipts.

This role is typically reserved for managers.

Allow edit product Gives user the right to edit product names as they appear on a specific order. This is an Item Option in the Order screen.
Allow delete product

Gives user permission to remove items from a receipt after they have been printed to the bar/kitchen. Note this doesn't affect unprinted items.

This role is typically reserved for managers.

Allow remove non-printed items When enabled, the user can delete a product that has yet to be printed to the bar/kitchen or receipt.
Allow removing more receipt items than present

When enabled, the user can remove a greater quantity of a given product than is present on the order. This can create a negative balance owing, resulting in a refund to customer.

This role is typically reserved for managers.

Allow modify receipt item price

Gives user permission to edit a product’s price on a specific order by tapping $ on the Order screen sidebar. 

NOTE: Even if disabled, a user will still be allowed to modify price of open price products.

Allow transferring items between tables/tabs Gives user permission to transfer items between tables or tabs by long pressing the item in the Order screen or using the Actions Panel.
Allow add discounts

Gives user permission to add a discount to a receipt.

NOTE: Enable the "Allow adding discount without customer" role also.

Allow adding discount without customer When enabled, a user can add a discount to an order even if a customer is not assigned to the order. When disabled, a customer must be assigned to an order in order for the user to add a discount.
Allow changing tax on receipt

Gives user the permission to change tax on an item or entire receipt. This only applies to accounts with tax-exclusive pricing: "Include VAT" must be disabled from Manager > Settings > Company Settings.

This role is typically reserved for managers.

Allow adding service charges Gives user permission to add service charges to a receipt. Does not need to be enabled for service charges that are applied automatically.
Allow to delete service charge Gives user permission to delete service charges from a receipt, even if it gets applied automatically.
Allow payment Gives user permission to access the Payment screen and accept payments.
Allow credit payment Gives user permission to process payments with customer credit.
Allow addCredit payment Gives user permission to add credit to a customer account by using the "Add Credit" payment method.
Allow tabPayment Gives user permission to leave payments on customer tabs using the "Put on Tab" and "Tab Paid" payment types.
Allow adding tips When enabled, a user can add a tip when processing a payment of any type.
Allow closing payment batch Gives manager-type users permission to batch-close credit card payments in Restaurant POS (for US customers with integrated payments only).
Allow void receipt

Gives user permission to void an entire receipt using the "Void Receipt" payment type.

This role is typically reserved for managers.

Allow void without customer When enabled, a user can void a receipt even if a customer is not assigned to the order. When disabled, the user can void a receipt only if a customer is assigned to the order.
Allow open cash drawer Gives user permission to open the cash drawer automatically when they enter a payment. The user can also open it using the Open Cash Drawer button on the Payment screen, the Extra menu and the Profile screen.
Allow open cash drawer from Extras menu Gives user permission to open the cash drawer from the Extra menu on the floor plan. The "Allow open cash drawer" role must also be enabled.
Allow viewing the device cash drawer Gives user the permission to view the current device's cash drawer and report its final count.
Allow viewing all cash drawers Gives user the permission to view all cash drawers and report their final counts.
Allow adding cash in cash drawer

When enabled, the user can add cash to a virtual cash drawer affiliated with the device.

NOTE: This setting applies only to the individual device if the "Allow viewing all cash drawers" role is not enabled.

Allow removing cash from cash drawer

When enabled, the user can remove cash from the virtual cash drawer affiliated with the device.

NOTE: This setting applies only to the individual device if the "Allow viewing all cash drawers" role is not enabled.

Allow viewing cash drawer history When enabled, the user can access and view the cash drawer history (cash-ins, cash-outs) from the Profile screen.
Allow End of Day

Grants user access to the End Day option on the Profile screen. User can close all open tables and clock out all remaining users before printing the Day report.

This role is typically reserved for managers.

Allow printing all reports Gives user permission to print all reports that are available to them depending on their user roles.
Allow print day report Grants user permission to print the day report from the POS.
Allow print day-report when tables are open Gives user permission to print day report when there are still open tables. This does not limit the printing of other reports.
Allow print floor report Grants user permission to print the floor report.
Allow user to print closing reports (X/Z)

Grants user permission to print closing reports.

NOTE: Closing reports must also be enabled from Restaurant Manager.

Allow printing X fiscal reports

Grants user permission to print X fiscal report. 

Allow printing Z financial reports Grants user permission to print Z fiscal reports. 
Allow accessing waiter data When enabled, a panel with user stats such as Current Revenue, Paid Receipts, Voided Orders and Tips will appear on the Profile screen.
Allow printing waiter reports Gives user permission to print their own waiter reports. These reports show the user's activity from the day.
Allow print user report Grants user the permission to print the user report.
Allow to print user reports if tables are open Allows user to print User and User Z reports even if they still have open tables or tabs.
Allow printing X user reports

Grants user the permission to print X user reports.

NOTE: X reports can be run multiple times and represent a snapshot of the data.

Allow printing Z user reports

Grants user the permission to print Z user reports.

NOTE: Z reports can be run only once and will reset the user data to $0.

Allow printing the cash drawers X report Grants user the permission to print the cash drawers X report.
Allow printing the cash drawers Z report Grants user the permission to print the cash drawers Z report.
Allow printing the user wallet X report

Grants user the permission to print the user wallet X report.

NOTE: A user wallet is a virtual cash drawer associated with a user when there is no physical cash drawer.

Allow printing the user wallet Z report Grants user the permission to print the user wallet Z report.
Allow elevate permissions

Allows user to temporarily elevate the permissions of another user. When this permission is enabled, a user can enter his or her PIN to approve a transaction of another user.

The "Elevate permissions of another user" setting must also be enabled from Manager > Devices > Restaurant App Settings. See Setting up elevated permissions and Using elevated permissions for more information. 

NOTE: This role is typically reserved for managers.

Force unlock Gives user access to a table that is currently in use by another user. Note that this can cause data loss. We recommend disabling this role unless the user is a manager.
Allow creating customers Grants the user permission to create a new customer on the POS.
Allow edit stock in App Gives user permission to modify the stock of an item on the POS. The Stock Management feature must be enabled in Restaurant Manager.
Edit floors Gives user permission to edit the floor plan on the POS by using the Edit feature. This includes being allowed to remove tables.
Allow edit reservation settings Gives user permission to edit reservation settings, such as the booking time periods. If disabled, the Reservation button won't show in the Extra menu.
Don't allow restricted management When enabled, a user does not have access to the Restaurant Manager. If disabled, a user can access the back office from the Restaurant Manager button on the Login screen of the POS.
Allow reporting access Grants user access to the Reports tab in Restaurant Manager.
Allow force clock-out in Manager Allow user to force clock out other users from Manager > Reports > Labour reports page.
Allow product access

Grants user access to the Products tab in Restaurant Manager.

NOTE: this allows a user to update, add, and delete products.

Manager - Allow users access Grants user access to the Users tab in Restaurant Manager.
Manager - Allow floors access

Grants user access to the Floors tab in Restaurant Manager.

NOTE: this allows a user to update, add, and archive users and customers.

Manager - Allow devices access

Grants user access to the Devices tab in Restaurant Manager.

NOTE: this allows a user to update, add, and remove devices and device profiles.

Manager - Allow printing access

Grants user access to the Printing tab in Restaurant Manager.

NOTE: this allows a user to update, add, and remove printers and printer templates.

Manager - Allow settings access

Grants user access to the Settings tab in Restaurant Manager.

Manager - Allow support access Grants user access to the Support tab in Restaurant Manager.
Manager - Allow payments access Grants user access to the Payments tab in Restaurant Manager.
