Best practises for logging in to Lightspeed Restaurant

An admin email and password are used to log in to your Lightspeed Restaurant account–both the Restaurant Manager back office and Restaurant POS app.  The email used to log in to Lightspeed Restaurant is the same email you used to sign up for Lightspeed Restaurant. Since this email and password are used to access your Lightspeed Restaurant account, we call this your admin email and password.

A POS user password or PIN can be used to open a user session on the Restaurant POS app.  POS users can be assigned a unique password or PIN from Restaurant Manager and this is used to authenticate the POS user’s access to Lightspeed Restaurant. Note that your account must already be logged in to the Restaurant POS app (with your admin email and password) for POS users to then open a session with their user password or PIN.

If the admin email and/or password are incorrect when logging in to the Restaurant POS app, you may receive an Invalid user credentials alert message. If you see this message:

  • Note that passwords must contain 8 characters, including at least one upper, one lower, one special character and one digit.
  • Be careful to not add an extra space at the front or back of your admin login credentials.
  • Note that the username field must be the admin email used to sign up with Lightspeed Restaurant.

If you’ve forgotten your admin password for connecting to Lightspeed Restaurant, select the Change password button on the Invalid user credentials alert window (for version 7.38 of the Restaurant POS app and later) or go to Lightspeedhq.com. For more information on resetting your password from Lightspeedhq.com, see How to reset your admin password below.

How to reset your admin password

An admin email and password are used to sign in to your Lightspeed Restaurant account (both Manager and the POS app). Your admin email is the same email used to sign up with Lightspeed Restaurant. After selecting this button, you will be automatically redirected to Lightspeedhq.com to update your admin password.

How to reset a POS user’s unique password or PIN

A POS user password or PIN can be used to open a user session on the Restaurant POS app.  A password is a unique combination of characters while a PIN is a four-digit passcode set up by an admin user from Restaurant Manager. Note that your account must be already logged in to the Restaurant POS app (with your admin email and password) for POS users to then open a session with their user password or PIN.

To create or edit a POS user’s password or PIN:

  1. Log in Restaurant Manager by navigating to Lightspeedhq.com > Login > Restaurant. Use your admin email and password to log in.
  2. Once logged in to Manager, navigate to the Users > Users page.
  3. Select the POS user you wish to update.
  4. From the pop-up window, select Change password or Change PIN.
  5. Update the user’s password or PIN.  Once updated, select OK to save your changes.
  6. Keep this information secure but make sure the POS user knows what their password or PIN is–they’ll need this to access the Restaurant POS app.

NOTE: If the POS user access type is set to Restaurant POS and Manager, they will need a unique password containing 8 characters, including at least one upper, one lower, one special character and one digit. A PIN code is optional.

NOTE: If the POS user access type is set to Restaurant POS, both a password and PIN are optional but strongly advised.
